What this platform is
This platform is used to run event operations — crew scheduling, task coordination, incident reporting, finance tracking, and communication — for the organization named above. This policy explains what personal data it collects, why, and how it's handled.
Data we collect
- Account details — name, phone number, WhatsApp number, and email address for crew, volunteers, and admins.
- Location data — home/pickup address and GPS coordinates, used only for crew route/pickup planning and the crew map.
- Operational records — tasks, finance transactions, inventory movements, and messages created while using the platform.
- Incident reports — which may include health/medical details relevant to on-course safety response.
- Chat and voice input — text or transcribed speech typed or spoken into the command interface, used to recognize instructions (e.g. "log this expense," "create this task").
- Device push-notification tokens — used only to deliver in-app alerts to your device.
- Photos and documents — uploaded as incident attachments, receipts, or shared files.
How we use it
Data collected here is used solely to operate the event: assigning and tracking tasks, coordinating crew and pickups, responding to incidents, recording finances, and enabling team communication. We do not use it for advertising and do not sell it to third parties.
Third-party processing
Some data is sent to third-party services strictly to provide the features above:
- AI providers process message/voice text to recognize commands and summarize documents.
- Mapping providers process location queries for route planning and geocoding.
- Push notification services deliver alerts to your device.
These providers only receive what's needed to perform their specific function, not your full account record.
Data retention
Operational data is generally retained for the duration of the event/edition it belongs to, plus a reasonable period afterward for record-keeping. Administrators can remove an individual's data on request, subject to any operational records that must be kept for safety or financial audit purposes.
Your rights
You can ask the event organizer (contact details below) to access, correct, or delete your personal data at any time.
Security
Access to this platform is restricted by login and role-based permissions. Passwords are never stored in plain text.
